Put AI to Work: How Gemini Automated My Inventory Reports

I don’t just talk about AI. I use it to run one of my own businesses. At our liquor store, I used Gemini to eliminate a repetitive spreadsheet task.

Instead of manually sorting our sales data every week when the numbers change, I had Gemini help build a dynamic tab in Google Sheets that does the heavy lifting automatically.

The setup

Create a tab called Sales Data and paste in your weekly sales report, exported directly from your POS or accounting software.

What I asked Gemini to do

I asked Gemini to generate a dynamic, formula-driven tab that automatically extracts the items and sorts them from high to low by net sales.

The important part is “formula-driven.” Rather than asking AI to sort a file each week, you’re asking it to help build a spreadsheet that keeps doing the work when the source data changes.

The result

With the formulas in place, our top-sellers report updates when we add new data to the Sales Data tab, without running another prompt or macro. We still update the source data, but the repetitive sorting is handled for us.

A quicker way to refresh your source data

Export your sales report as a CSV file. When importing it into Google Sheets, select your Sales Data tab and choose Replace current sheet. This replaces that tab’s existing contents, so make sure you’ve selected the source-data tab, not the report tab.

The takeaway

A simple request to AI can help turn a static spreadsheet into a self-updating tool. Start with a repetitive task you handle every week and ask whether formulas could do that work instead.
