Putting AI to Work: Turn Meeting Transcripts into Client Follow-Ups
Between client consultations and job site walkthroughs, it’s easy for small details to slip through the cracks. A material request, a specification, or a follow-up date can get lost in a busy conversation.
The AI tip from this newsletter is to turn a meeting transcript into a structured follow-up email, so you don’t have to rebuild the discussion from memory.
Start with a transcript
An AI transcription tool such as Otter.ai or Fireflies.ai can be a starting point. Before recording, get the participants’ permission and make sure recording is appropriate for the meeting and applicable requirements. Check the tool’s data settings before sharing client information.
If recording isn’t appropriate, you can use your own written notes instead.
The prompt
Give ChatGPT or Gemini the transcript or notes you’re comfortable sharing, then use this prompt:
Summarize this transcript into three sections:
- Key Project Goals
- Materials/Specs Mentioned
- My Action Items with Deadlines
Format it as a professional follow-up email I can send to the client. Use only information in the transcript. Don’t invent specifications, commitments, or deadlines. Flag unclear details for me to confirm.
Review before sending
Check names, material specifications, measurements, action owners, and dates against the original conversation. Correct transcription errors and make sure the draft doesn’t turn a suggestion into a commitment.
Then add any questions that need the client’s confirmation and send the email yourself.
The takeaway
AI can help you move from a long conversation to a clear follow-up draft. You still own the final check, but you don’t have to start with a blank page every time.
